Corporate gifts that earn a place on the desk
Choosing corporate gifts people will use? A practical guide to custom coasters, physical samples, thoughtful branding and the details behind a good quote.
A new colleague arrives, finds their desk and puts down a cup of coffee. That is a small moment for a welcome gift to become useful. It is also a helpful starting point for choosing one: where, exactly, does this object belong in someone’s day?
A coaster has a modest job. It sits beside the keyboard, under a morning mug or beneath the glass that follows someone through a long afternoon. For a company choosing gifts, that everyday setting is more interesting than a product photographed inside a perfect presentation box.
Write the job before you choose the gift
Start your brief with the person and the setting. “A welcome gift for new colleagues working from home” gives a supplier something to respond to. Add what you know about the space, delivery and recipient: a compact desk, a shared office or a team spread across several countries.
For a coaster, consider whether one piece or a small set makes sense. A single coaster can belong beside a laptop. A set may suit a household or shared meeting space. Ask a few intended recipients about their normal cups and work surfaces before committing to a format. Their answers may change the brief more than another hour browsing colours.
Give the sample an ordinary working day
A screen cannot tell you how a ceramic edge feels or whether the widest mug in the office sits comfortably on the cork. Ask for a physical sample in the intended construction, then use it with the cups and glasses the gift is likely to meet. Place it on a suitable, protected test surface and follow the supplier’s care instructions.
Look at the small details together: a level seat, a tidy edge, a clear mark and parts that are easy to identify. Lift the glass, move the coaster and check the underside. If an insert is removable, ask someone unfamiliar with the design to take it out and refit it. Note any hesitation; it is useful feedback for the care card.
Put your logo where it feels at home
Custom branding gives the object a connection to your organisation. Its scale still needs to suit a desk that belongs to someone else. Compare the artwork at actual size, including a quieter option, and make sure the smallest lettering stays readable.
A laser mark on cork and a print on ceramic will have different visual qualities. Review the proposed method on the actual material. A digital mockup can help you choose placement; the production sample should settle contrast, alignment and finish. Keep the approved artwork, sample photographs and written specification together so that everyone is working from the same reference.
Read the quote as a complete delivery
The figure beside “unit price” is only part of the buying decision. Ask each supplier to quote the same quantities, branding, packaging and delivery arrangement. Name the person who will check the shipment and handle any missing or damaged pieces.
Ceramic is hard but can break on impact, as the Canadian Conservation Institute explains in its material-care guidance. That makes the proposed packaging worth discussing. Ask how the finished gift pack will be checked for the actual shipping journey, particularly when gifts are sent individually to home addresses.
Object and set size, including exactly which spare parts are supplied.
Artwork setup, physical sample and customisation charges.
Protective packaging, inserts and any personal note.
Shipping destination, applicable charges and confirmed delivery terms.
Replacement process for damaged deliveries and later component requests.
Include a short explanation of the parts, the care routine and a contact for help. If the gift contains a spare, label it so that it survives the unboxing. Confirm where recipients can request another component without needing to find the colleague who placed the original order.
That is the thinking behind Biuteeful’s ceramic and replaceable-cork design. We are preparing for preorders to open on October 10, 2026. Custom gifts will need agreed artwork, an approved physical sample and confirmed production and delivery terms. Share your recipient, quantity and intended occasion early enough for those decisions to receive proper attention.
A few common questions
Are custom coasters suitable for employee welcome kits?
They can be, when they suit the recipient’s cups, workspace and care routine. Check a physical sample and packed dimensions, especially for remote teams receiving gifts by post.
What should I send with a corporate gift enquiry?
Send the intended use, quantity, delivery country, desired arrival date and logo artwork if available. Say whether you need individual gift packaging, a note or delivery to several addresses.
Does the preorder opening date confirm delivery for my event?
No. October 10, 2026 is Biuteeful’s planned preorder opening. Event delivery needs a separate confirmed schedule after the specification, sample and production arrangements are agreed.
Create corporate event gifts that feel at home after the occasion, with considered branding, useful care cards and a thoughtful handover to recipients.
